Host-Tell: A Hostel Management System
Abstract
Managing hostel life has traditionally been a challenging and time-consuming experience for students. From repeatedly visiting the warden’s office for room allocation, standing in long queues for mess-related complaints, laundry requests, or fee receipts, to manually tracking attendance and leave approvals—these small yet frequent hurdles collectively create frustration and waste valuable academic time. The lack of transparency and dependency on paperwork often leads to delays, miscommunication, and inefficiency for both students and hostel administrators.
Hostel -Tell reimagines and modernizes this entire experience. It is a comprehensive Hostel ERP (Enterprise Resource Planning) system, available on both web and mobile platforms, designed to unify every aspect of hostel management into a single, intelligent digital ecosystem. The system aims to replace traditional manual processes with smart automation, real-time communication, and a student-centric approach.
One of Hostel -Tell’s most innovative and distinguishing features is the 3D Grid Room Booking System. Unlike conventional allotment methods, this feature allows students to virtually view the hostel layout, explore room structures, check real-time availability of rooms and beds, and reserve their preferred space online. This eliminates the chaos of first-come-first-serve manual allotment, reduces conflicts, and ensures complete transparency and comfort—right from the student’s home, even before joining the hostel.
Beyond room booking, Hostel -Tell addresses the day-to-day operational challenges of hostel life. The system integrates mess feedback and menu management, laundry service requests, parcel and courier notifications, complaint and maintenance tracking, student attendance, leave and outing requests, lost & found management, emergency alert broadcasting, and secure digital fee receipts—all within a smooth, centralized, and real-time platform. Each module is designed to minimize delays, improve accountability, and enhance communication between students and hostel authorities.
For students, Hostel -Tell feels like having a personal digital assistant that simplifies hostel life and lets them focus on academics and personal growth. For wardens and administrators, it serves as a centralized control system that improves efficiency, transparency, and decision-making. By addressing the needs of both stakeholders, Hostel -Tell successfully bridges the gap between hostel residents and management.
