HOTEL-BILL: Smart Web-Based Billing System

Abstract


The rapid growth of digital technologies has increased the need for efficient and reliable billing systems in service-based industries. In the hospitality sector, hotels and restaurants handle a large number of daily transactions such as room charges, food orders, service fees, taxes, and different payment methods. Many organizations still depend on manual billing processes or basic spreadsheet systems, which often lead to calculation errors, delays in invoice generation, data duplication, and difficulties in maintaining accurate financial records. These issues can reduce operational efficiency and negatively affect customer satisfaction.This research proposes HOTEL-BILL Smart Web-Based Billing System designed to automate and simplify the billing process through a centralized digital platform. The system is developed using PHP for backend processing, MySQL for database management, and JavaScript for interactive user operations. Additionally, the FPDF library is used to generate invoices in PDF format automatically.The proposed system integrates several important features such as order management, automatic price and tax calculation, QR-based digital payment options, payment status verification, and real-time sales reporting within a single administrative dashboard. The system follows a three-tier client–server architecture consisting of presentation, business logic, and database layers. This architecture improves scalability, system organization, and maintainability while also supporting secure role-based access control.By reducing manual calculations and paperwork, the system minimizes billing errors and speeds up transaction processing. Experimental testing in simulated operational environments shows improvements in checkout efficiency, financial transparency, and administrative workload management. The system provides a cost-effective and scalable solution for small and medium-scale hotels and restaurants that want to adopt digital technologies. Overall, the proposed solution demonstrates how web-based automation can improve financial accuracy, operational efficiency, and service quality in the modern hospitality industry.
